Which is best for email and space?

I seem to recall in an older version of outlook, it was possible to set it up so that we could all access each others inbox if they were off - if this possible on the new outlook and on gmail business?

Exchange online or you call it outlook 365, will do the job slightly better. Nothing wrong with Google business but 365 has some better features for that type, specially the shared mailbox features and distribution lists.

We tend to recommend going for MS 365 over Google Workspace, it depend what you are used to working in, plus as mentioned above you get free shared mailboxes in MS 365.

100% recommend Microsoft 365, it's low cost and works very well, even the monthly cost for all the physical apps is worth it. Gmail is not a bad platform but people do struggle with organisation.

We often migrate people who in the past have used shared hosting email platforms but with spam filters so strict now, a lot of email gets blocked. With MS365 this isn't the case if setup correctly.

You can setup shared mailboxes or you can allocate permissions for people to access multiple email accounts.

We migrated a small business recently that did just that, one shared mailbox but also setup permissions for shared access if needed. This can either be a permanent setup or add-hoc

What I would say is make sure you have 2FA enabled for whatever mail system you choose. Email hacking is a very real issue.

Adding a +1 for this, and to also give another recommendation for Office365 (or as it is now called, Microsoft365).
I did try using Gmail for business but it just wasn't as polished and easy to organise as Office. I've even subscribed to Microsoft365 business for my household and personal use, it just works and now that they have made switching between Organisations in Teams it's even better IMHO.

You shouldn't developed a shopping portal if you can't even setup and test the exchange spam filter system. Just saying.

I think it was office 2007 (I used to work for an insurance company in 2008 and we had access to each others inbox and/or calendar).

365 is definitely better. It's what we use and never had problems with it.

I'd say it depends on your needs. We get our M365 subscription via a Microsoft Partner, we have the Office Suite, the Voice/Phone service, and the Malware scanning. So a whole bunch of licences, and it works out cheaper via the Partner. Not by much, and to be honest it wasn't about the money anyway. It was just easier to have one supplier for IT, furniture and the office software.

The downside is that when we need to add an extra licence we, as a very tech business that like to self-service, have to contact them to get the licence added on. If we purchased direct from Microsoft we could just add a licence via their admin panel, so it depends how often you would want to change.

We provide MS 365 as a partner, but we do all the domain setup and configure your domain and e-mail with DKIM (Mail Authentication) ensuring the best mail delivery possible.

You can scale up and down your licensing from within our control panel. We are priced the same as Micorosft but do a lot of the setup steps for so you can just get started.

Well these things are always down to individual preferences.

My computer programming mate reckons Microsoft software is always clumsy and slow and he moved everything to Google.

I use Gmail and prefer that to Outlook but push on with Word, Excel and Note as cannot be bothered to learn things again. I also find Google Drive more reliable than One Drive.

As I don't use any Windows based computers I don't actually use anything from MicroSoft it makes the choice easy for me

Every version of Outlook can be configured to retrieve multiple mailboxes. I would like to add a +1 for Microsoft 365 here, as in 365, the administrator has overall visibility and control of who has access to which mailboxes. If you were to have a similar setup for Gmail mailboxes, it would be based on the relevant people knowing the relevant mailbox passwords, which can quickly become an administrative (and data protection) nightmare when you have more than a handful of mailboxes. In Microsoft 365, once you give user A access to mailbox B, that mailbox appears automatically within user A's Outlook within minutes. It's extremely efficient and saves time remoting in to users' workstations to reconfigure mail clients manually.
