Event Collateral Timelines, Programmes Used And Setting Of Internal Process

Hi,
I would love some advice on how to develop collateral planning timelines and how to do this (programms used etc) planning times needed and advice on guidelines to setting internal processess. I am about to start work on a project which will involved the production of high quality gifts, brochures, banners and a book for a sporting event. The project starts in April for an event in December. Thank you in advance!!
