Excuse my ignorance,
Can the board minutes be written down on any type of book? Or do I need to buy a specialised book for that?

any book - or just type up in word.

Yeah, good advice. That will be neater than writing it by hand.
So I just print a page on word every time theres a need for board meeting to be taken, then I punch the wholes and put it in the folder.

I am just asking cause I want to write down the minutes for paying a dividend to myself.
The dividend voucher, do I have to file it anywhere? And where do I file it? in the companies records? Or in the director's records? And who would ask for it and why?

Just keep it in your records - it doesn't need to be sent any where

You mention board minutes, which would refer to directors' meetings, as opposed to shareholder meetings. (Bearing in mind that the directors are appointed by the shareholders, ie the company owners, to run the company).

The requirement (per Companies Act 2006) is only to "cause minutes of all proceedings at [directors' meetings] to be recorded", and these records must be kept for 10 years.

The rules for minutes of shareholder minutes are broadly similar.

"Company records may be kept in hard copy or electronic form". If electronic, they must be capable of hard copy reproduction.

There is a general duty "where company records are kept other than in bound books" to take precautions against falsification. (I would be interested in anyone's thoughts as to how this is best and economically achieved.)
