Sage - Product Deleting

Hello,

I have several products in Sage (2010, v.16) that I've now replaced with items that have better descriptions and suit my needs much better. The old versions have all been used fairly recently (last 6 months) in various invoices that have all been posted.

If I delete the old items that have been superseded will it mess up my posted invoices?

It won't cause any real problems as such but, if you delete the products then any invoices that have those products on will show as warnings when you run Check Data.

Also bear in mind that you cannot delete a product that has a transaction history...

Sorry to sound dumb, but is that the same as what's shown when you click 'Activity' on the selected product?

Yes, if there are any transactions shown there, you will not be able to delete the products using the standard Delete button in Sage.

Ah, well that raises a another question I've been thinking about recently.

I know I've used all the product items that I want to delete in the last 6 months, most within 3 months, and yet most of them show no activity at all. Any idea why?

Couple of possibilities:

1. The product is not set up with an item type of Non Stock Item rather than Stock Item which means that no activity is stored at all.

2. If you run the Period End -> Clear Stock routine, this clears down activity.

Many thanks for your advice. I've removed the old product items and while it has brought up the errors in the data check I'm not fussed as I'm still in the early days of sorting out how the system is going to work best for me so I'd rather get the codes right now than still be fussing around with it in years to come.

Not wishing to appear pedantic but do they show as warnings (which they should) or errors (if they show as errors, that is a whole different ballgame).
