Business email going to spam help?

Hello,

Hope I’m asking in the right place.

I need some help with my business emails, something is causing outgoing emails to end up in customers spam folders or sometimes not arriving at all and it’s happening far too often, somethings not right. Can someone please direct me to where on UKBF I might look for/find someone who can help with this? I was hoping this might be a good place to look.

Typical causes of this are misconfigured DKIM, DMARC and SPF DNS records, but also things like bad RDNS records if you are running your own server. Best to talk to your host and make sure these are all configured correctly. If you have a copy of any spam trapped email it may give you an idea of why the email was spam trapped in the email source and narrow down the issue..

How do you send these emails are they from outlook etc or are they sent from your website for example a Wordpress website?

If you are happy to post your domain name here or if not send it in a message we can take a look at some of the most obvious things for you and let you know what we find.

Thanks for your response. I don’t understand what any of that means however I do know how to get hold of the host (Ionos) and see if they can help me 👍

Don’t hold your breath. Ionos are one of the worst at everything.

Sure, my website is www.mrgasfires.co.uk. It is hosted by Ionos now but used to be 123.reg. I had issues with using my email through Spark on iOS so the email side of it is now actually run through Google Workspace which adds a a layer of complication and confusion…

Hi,

1, You do not have an SPF record setup

Contact IONOS and ask them to add

@ TXT "v=spf1 include:_spf.google.com"

2, You do not have DKIM setup here is how with Google https://support.google.com/a/answer/174124?sjid=5728431895313868419-EU

Once enabled at Google you will need to add a DNS record at IONOS that Google will supply.

3, You do not have a DMARC record setup (sort 1 and 2 above first)

Ask IONOS to add the following DNS record

_dmarc TXT "v=DMARC1; p=none;"

*This is just a basic DMARC record that will help with delivery, once your mail is being delivered you can investigate adding an email address for reports and then format a policy in the future but for now this is all you need to get sorted.

All that above should get your mail delivered again!

If you have to do it yourself then choose SPF (TXT) rather than IONOS SPF (TXT) in their instructions as that will just add their SPF but you send mail through Google.

Wow, thanks - however, that’s all a bit Greek to me and Ionos don’t make things particularly easy to understand from my experience, they just want you to sign up to miracle working bolt ons that no one understands the benefit of! Wondering if I would be better to move to a more responsive hosting service who can also sort out my issues. Would that be you? Please email me at [email protected] and let me know on this.
