Zebra Queen

We have a fully remote team
We have a UK and US phone number that can be transferred
The team don't have mobile phones for work, so needs to integrate with desktops
We don't want additional hardware, so no desktop phones
We need to be able to answer calls on laptops, take messages, transfer to another user, plus the ability to leave messages

And as we rarely use the phones we need a reasonable cost, not £000's per month

This sounds like a perfect fit for 3CX cloud based phone system. You can connect your uk and us numbers to up via sip trunks and give users soft phones on their mobiles or laptops.

It’s also an open system so you can log on and make changes if you want to.

Full transparency - we supply 3CX systems so if you’re looking for someone to supply, install it and train your team quote please pm me.

Thank you, we actually had a quote from them but the setup and training costs were very high

This does look like basic functionality for just about any VOIP system; even Microsoft365 has this built into Teams. You should not be short of options to look at; and almost all options should have a mobile app for any staff happy to install it on their phones (same may prefer to answer calls on a phone rather than PC)

We use Microsoft Teams Voice ourselves. Might be worth comparing what @Alcom IT costs are and ensuring you haven't added in features in the other quote which you don't actually need, there is also @cjd here who provides VoIP services too.

We recently moved to RingCentral and have so far had a very good experience

Cost is around £12 per user per month, or £7 per month is paid annually

However, as @Ozzy states, you don't require anything out of the ordinary and there are hundreds of providers for what you need
