Online Staff Rota System?

I am looking for a simple way users can log into a site and check the next few weeks of shifts they are working, anyone have an idea about the best way this can be done?

The Rotas are made in MS Excel so was thinking about a simple login box then being faced with PDF Files to view the Rotas.

The only thing that is required is a quick way to upload, for example we don't want to have to upload the files then create a link on a page etc etc.

Any Ideas, Suggestions or Tips?

A restaurant I know uses PDFs for online menus. The PDFs are called "Lunch" and "Dinner". Each time the menu is changed the new one is saved as the appropriate name and uploaded via FTP. This was set up by a staff member and works very well, taking seconds to go through.


In your case I would envisage files called "This Week", "Next Week" etc for example.

Based on your word press site, you can create pages which are accessed by particular group only not public and there you can information in HTML tables or downloadable pdf file

There are plugins available which can run on your site and record all to do tasks and time sheets, it can even be used for correspondence as well, look for project management plug ins.
If you are on shared hosting then i would avoid complex project management tool but simple Rota display should not be a problem, its better to show on site instead of downloading in pdf, this way staff can login through mobile devices and just browse through the info, also you will record who logged in what time to see information

Thanks for the replies, I think I have come up with a rough idea of what I'm going to do. Create a Wordpress site that is private unless you login, will probably be their payroll number and a password that will get changed periodically.

Our Rotas are done in weeks so will be links on a page ranging from 1-56 and the rota will be uploaded in .pdf format named 1.pdf, 2.pdf etc. I will edit the 404 Page so that if the weeks rota has not been uploaded it will appear saying something like "The rota you have selected is currently not available to view online"

I will also have a Rota Upload page that is only shown in the Navigation for admins, the page will have an Upload Box to upload the Rotas from the sites front end. This will mean there will be no reason to go into the Wordpress admin panel for anything apart for Wordpress/Plugin updates.

This all seems easy enough to do with the plugins I have found. The site will also be using a responsive theme and have an Apple Touch Icon to make the site into a little web app for the staff.

More Suggestions and ideas welcome :)

I use a system called NICE IEX which everyone log in to view there shifts and they get email and IM of changes plus request holidays and system can automatically reject or accept them if it okay and etc. Other good one I saw is Findmyshift.co.uk
