CRM System for Accountants and Bookkeepers

I wonder if you can help me please? I am doing some market research into CRM systems for accountants and bookkeepers and would be interested to know the following:


  • Do you currently use a CRM system? If so, which one?
  • What do you consider its strengths and weaknesses?
  • How much do you pay? Is it monthly, annually, a one off fee?
  • If you don't currently use a CRM system, how much would you be willing to pay for an online system, and how often (monthly, annually etc)?

Sorry to sound thick but what is a CRM System? I am a bookkeeper but don't use CRM system as not sure what it is, if I knew what it was it may be of interest to me.

Sorry Alison, I should have explained myself better.

CRM stands for Customer Relationship Management. It is a system which holds details of all your clients. It can organise your client inception process, manage your workflows, generate reminders for key dates, mailmerge letters, keep track of all contact with clients etc

Maximizer (V.10)

  • What do you consider its strengths and weaknesses?
Strengths - integration of address book, documents and user defined fields, with automatic notes generated for various actions. Multi user, with access to each everybody's diary. Integral word processor, enabling us to set up standard templates for one off or mail merge

Weaknesses - a bit sales orientated. It's not really set up to track workflow through the office, although we are working on ways of incorporating that

  • How much do you pay? Is it monthly, annually, a one off fee?
It was a one off fee - we can then pay for version upgrades if we want them. For example we had version 7 and then skipped 8&9 before moving to 10

Weaknesses - will only be useful up to a certain number of clients, may well become unmanageable at some point soon.

It depends - would have to be a stepped fee based on level of clients I expect. We would prefer something on a pay monthly basis though.

It depends - would have to be a stepped fee based on level of clients I expect. We would prefer something on a pay monthly basis though.
Pretty much the same as this, although I'd rather - as David Griffiths does - pay one fee and leave it at that. To be honest, I wouldn't really want to pay more than £2-300 though haven't looked at other CRM options so don't know if that's realistic. I know a lot of commercial CRM is expensive (overpriced?) and therefore automatically excludes small practitioners who don't want to pass on inflated overheads to customers in inflated fees...

I use Sage ACT at work and icomplete for my own contacts.

Sage - lack of support unless you pay extra is a weakness. Strength - great online forum which has lots of useful answers.
iComplete - strengths - it is online so I can access it from any pc. It will grow with me.I It is a calendar as well and I can have text or sms reminders. If I upgrade it will allow multiple users and calendar sharing.

SAGE was about £80 per user as a one off fee as I dont have the support.
icomplete is currently free for me as I have under 200 contacts. I can upgrade for a monthly fee.

At work I cannot see them wanting to pay a monthly fee though I can see benefits of it being online. I will pay £15 month once I get over 200 contacts on the icomplete.

I think the key ingredient that's missing from existing packages is the workflow/ practice management bit (by that I don't mean time and fees!).

There are a lot of great packages out there where we can store client details, and even key dates, such as the year end, but nothing really that tracks a client through the various processes and helps you keep an eye on workloads within a practice, that is unless you buy into the Iris or Digita models.

A lot of us will have our own standalone accounts and tax packages and like it that way, so would like a practice management solution that fits that model, at a reasonable cost.

I suspect that most of the smaller practioners use their own spreadsheet solutions now, which may work absolutely fine, but could always be improved with the right bit of "kit"

Crack this one and the sole practioner/ small practice world will be a profitable one for you. You only have to look at how successful some of the other smaller providers of accounts and payroll software have been e.g. VT, Moneysoft and 123 Pay.

If it helps, the only real "package" that I've found anywhere near the mark is a web based solution (which by the way I prefer) called Client Focus. You should be able to google it

within my office block is a company which offers web based CRM systems i use it myself. it is very good, high speed, accessable all over the world and can be personalized easily. offers many function such as emailing, report compilations, alerts, run meetings and diary etc if you would like i could get them to contact you if you send me your contact details.

I used ACCA practice manager for 2 years. It stengths was that it was clearly planned for the accountancy market, but its weakness was that it was planned for larger practices with multiple partners/staff. It was very cumbersome to use and it used up a lot of my time to keep it updated as it was far too detailed and far too hard to customise for the smaller practice that doesn't need all the functionality. It had no facilities for email nor electronic storage of documents - basically it assumed that you printed everything off to put into a paper file.

As for price, considering that VT produce an accounts prep system for £200 p.a., Moneysoft produce payroll for £100 p.a. and you can buy tax software for £300-£600 p.a. all including updates and support, I'd say that a practice management system should be priced well below £500 p.a. to include updates and support.

I'd ideally be looking for a web based system with functionality for sending and receiving emails as part of the program, which are stored within the program, also inputting of scanned documents and ability to create pdf documents to email or print. It needs a directory structure so that everything is stored in separate "client" folders with subdirectories for tax, accounts, payroll, permanent, etc. to keep things simple.

The job and work flow control is the most important aspect. It needs to be very customisable and easy to customise as each practice will have its own ways of doing things - it needs to be condensable for a sole trader or expandable for several staff where supervision and reporting is needed. You need to be able to set up job templates, such as annual accounts prep, monthly payroll, quarterly VAT return, which can be "picked" for relevant clients, these "jobs" need to be automatically repeatable every week, month, quarter or year, so that the system automatically generates a new "job" at a predetermined time before the relevant date so that pre-planning can be done, and then various customisable time intervals for each user-defined stage, culminating in deadlines.

It is this job/work control that is the problem and the reason why "off the shelf" CRM packages don't work for accountants. Most alternatives don't have the built in ability for automatic repeat or don't facilitate the copying of one "job" to other clients. Basically, most systems assume jobs are unique and expect you to set up a personalised job for each new customer or contract. Accountancy is different - it has a few "jobs" which are repeated year after year and repeated over multiple clients.

I'd also say that time and fees is irrelevant - too many accountancy practice manager type systems place too much emphasis on these aspects - time billing is less popular especially for smaller practices and time & fees is integral to most decent book-keeping software so replicating it to accountants CRM is a bit pointless - although you may want to add it as an optional extra!

Just to say that since scrapping ACCA practice manager, I've been looking for something for a couple of years now, and found absolutely nothing except for IRIS and its like which I won't go for as I am happy with my other software, i.e. VT, Drummohr and Moneysoft - I don't want to scrap those systems which work very well for a one man band just to get a workable CRM system. I've had countless trials etc but nothing does the job. Similar comments are posted all other similar forums by accountants, so the person who makes a CRM product for the VT, Moneysoft and Drummohr type of practice will have a ready market.

Thank you so much for all your helpful replies to this thread. We are looking to launch a new CRM product onto the market later this year as our research has suggested (and these posts have confirmed) there is a gap in the market for a CRM product that meets the needs of the small/medium accountancy practice.

We are currently determining the fee and creating a name for the product as well as deciding on the best method of training and finalising support.
