What would you recommend as a solution for custom email address?

Hi, hope you're well. I currently have an email address for my domain down the line of [email protected]. This is currently accessed via an ordinary gmail account which uses aliases and MX records as instructed by Squarespace domains when they took over Google Domains. Recently seen some mail undelivered etc and would like to implement SPF, DKIM & DMARC to solve this.

What would you recommend as an email solution? Don't really need cloud storage etc just a decent sized mailbox that two users could access (myself and co-owner). Thanks in advance.

I use Google Workspace. It does everything I need. It has email, office suite software (word processor, spreadsheet, slides etc) and has some pretty nifty features.

I used to use Microsoft 365 but I decided to move to Google Workspace as I preferred the features.

@RedmenWelshman - why are you making it so complicated? Pay for email hosting and take full control over your email. Take gmail out the loop

Thanks for the reply. I think it's lack of knowledge more than anything 🙈 with who should I pay for email hosting? Website host or do you have a recommendation for another provider. Out of curiosity do you use a web based or an app on a PC for your email.

You may already get free email with the domain name. Check with your registrar.

I just use the email app on my phone and thunderbird on the laptop. All the settings are managed through cPanel.

Thanks! No email with the domain, although the company I use to host the website do provide email althought it shares storage with the site.

Was there a lot of config work via cPanel?

Cheers

In which case looks like all the heavy lifting has been done.

When you set up the email account in cPanel you just need to tick all the boxes (spf etc) and everything is done. It will give you all the settings which you then just add to your email client. Normally takes a few minutes. Or you can ask someone to do it all for your. Your local PC repair bod is a good place to start.

If I wasn't already on Google Workspace and didn't need any of the office stuff I'd probably go with Proton Mail. I used them as my personal email and they were fine. They've added quite a few new features since I left and support multiple custom domains.

Depends. Porkbun offer email services when you register a domain. Although they also offer hosting as well.

To be absolutely clear on this @DontAsk was correct, it is simply impossible for a registrar to offer email services unless they are also a hosting company.

The only thing a registrar can do is update the DNS (Domain Name Servers) to tell the world which hosting company your domain is using. Any web site and/or email system is then provided by the host and not the registrar.

You can have up to 5 mailboxes within the same domain with Zoho Mail for free.
Or as many as you like if self hosted.

Where your host provides an email service. Most do.

I can log in to cPanel and create email accounts. I then have the option to access via webmail and/or an email client on my phone, tablet and PC.

It means I’m not reliant on a third party platform to manage my emails. And I have far more fine control over the settings and filters.

I had a campaign on one site that needed a dedicated email address. Took minutes to set up and once finished I just closed the account. One client has different emails for each activity they run. All for free.

Not the best option for deliverability. I highly recommend using a third party for your emails, most of them have highly reputable IP Address/Mail Servers so most email providers won't spam you without question.

Self Hosting, then prepare for a high likely-hood of ending up on spam-lists - also, ensure you setup your self hosted mail server securely, its quite easy to get your mail-server hacked and used for spam.

Email is a pain in the arse which is why I pay someone else to handle it for me.

I definitely recommend using a third party like fastmail, very easy to use etc. Certainly is something you can save yourself a bit of money on by not needing to hire someone for (once you set it up, it should be fine for a long, long, long time)

Why would you need to hire someone?

You pay for hosting, you get cPanel, you create an email account, you add the account to your email client. What's to pay for? Security comes with the hosting not the email account.

The problem with that is if the IP address has a bad reputation most (if not all) of your emails are going to end up in spam. This can be done on a host level basis if they have a bad track record for allowing customers to send spam and other unwanted email and thus you will end up in the users spam folder.

But, pay for decent hosting (not the cheapest you can find) and this is unlikely to ever be a problem.

What it all boils down to is there are a number of ways to set up and manage email accounts. You just need to choose the one that works best for your business.

Either pay for email/use the one that the domain registrar offers or utilise the free level that Zoho Mail offers - a great service.

BTW, SPF, DKIM & DMARC is set via your DNS settings, but you need to know the mail server details.

sadly things aren't that simple, most cpanels are shared, meaning IP reputation is reliant on the hundreds, and possibly thousands of websites they host on each single IP, most of the time, cpanel emails will land in junk -- having no reputation, is as bad has having abusive reputation, because you're an unknown variable, whereas trusted email providers have built that trust for you over a long time-period etc.
