What software/tools do startups use for purchase orders, invoicing, and financial tracking?

I am currently building a startup in the premium food import sector and I am looking for recommendations on software or platforms that can help manage all aspects of financial operations. Specifically, I need a solution that allows me to issue purchase orders to suppliers, generate and manage invoices, track all financial transactions in one place, and perform data analysis and forecasting to make informed business decisions. Ideally, the platform should be scalable for a growing startup, easy to integrate with other tools, and capable of producing insightful reports quickly. I have been exploring options like xero, zoha and odoo, but I would love to hear what others are using especially if you are running a startup dealing with multiple product lines. Any advice or personal experiences would be hugely appreciated.

I would expect every accounting package, such as Xero you mention as well as QuickBooks, FreeAgent, KashFlow, Sage, all of them will support everything you are asking.
I have personally used KashFlow and FreeAgent which have been easy to use and support everything on your list.

FreeAgent is very good - I use it personally and often recommend it but it wont create purchase orders.

Thanks.. I agree FreeAgent is really easy to use and I like it too. The only downside is that it does not create purchase orders. With all the AI tools coming up, I am curious if there are other options that can handle finance management.

I am looking for AI solutions that can track customer buying patterns, analyze spending behavior, and provide smart recommendations to strengthen financial performance. I have also been exploring systems like Yokoy, for services such as fraud detection and cash flow forecasting, to enable personalized services and product recommendations. On top of that, I want AI to play a key role in enhancing transparency, compliance, and overall efficiency in financial management.

Yes, my family has been in the import and export business for generations. We have mainly focused on rice and pink salt, and already have customers in the UK. Right now, we are setting up a distribution base here as part of an expansion of our existing operations. The goal is to develop our own brand and product line. Things are still in process , I am currently exploring different platforms and systems to implement within the business.

In which just get something that does the basics (including write the PO). Learn which additional bits you need and either buy the necessary modules or put out a tender to a number of suppliers.

Trying to get everything you think you might want in one go rarely works. You can end up with all sorts of project creep and unnecessary costs.

You are absolutely right ,starting simple makes a lot of sense. My plan is to get a basic system up and running first, one that can handle the essentials like writing POs and managing suppliers. Once the workflow is stable and we have a clearer idea of what is actually needed, we can gradually add the right modules or tools.

With technology moving so fast, web development has also changed so much. There are so many tools and AI platforms now that can make websites. I was really surprised by how simple and fast it has become , it made me wonder what else has changed like this.

That is true many tools are making low quality websites. But it still provides a solid structure to build on if you know where improvements are needed. While it is still early days, these platforms save a lot of time and resources compared to the past, when we relied heavily on web developers. It is not perfect, but it is definitely very helpful.

I disagree. Anything more complicated than a basic static site is beyond anything AI can create. This isn't because I'm a developer, it's the view of many IT professionals. AI has its uses but bug free, efficient and secure code creation isn't one of them.

Haha, the foundation has always been there, but now we require proper systems. Our business operates on a B2B model, we have not really used modern platforms to increase our visibility yet. Most of what we do still involves more manual work and fewer digital tools, apart from accounting. This step is about bringing more structure from managing supplier information to tracking client feedback.

I am not a huge fan of AI, but I am curious to try different platforms. You never know which tool could end up being beneficial for your operations. I dont mind saving time on repetitive tasks, so I am open to exploring how AI can help streamline processes.

The only thing is which I have noticed that just by adding AI taglines, many of these platforms are charging very high subscription fees. It feels like the hype is inflating prices, even if the actual AI features are still limited.

One thing I always consider when evaluating software is the stability and reliability of the supplier. Will they still be around in 5 years. Do they have a record of updating. Is there an exit plan for me if the company goes belly up

I am wondering how to categorize these expenses for example, google ads go under marketing, but should tools like analytics or AI content platforms fall under marketing, operations, or software costs?
