What project management software do you use?

I'm finding myself sinking in a stack of notes and short documents and need to really organise myself. I was wondering if anyone could recommend some project management software? I have a Mac so it'll either need to have a Mac app or be web-based. Bonus points if it supports iPhones and iPad.

I use a whiteboard. Wiping off completed tasks is very satisfying.

Everything else goes in a notebook.

I use
  • Wrike for tasks
  • Clockify for time tracking
  • Workona for tab management
  • MS Onenote for all my project notes
  • LastPass for password management
Whist I am often working on large projects I also offer ad-hoc support which means swapping working environments. The above allows me to do that with ease. The monthly subs are cheap for Clockify and Workona, the others are free.

Exactly as @DazRave has said, it does depend on how you work at the moment. If you work solo or in small teams I was going to suggest Trello exactly as DR has said, but if you find Trello doesn't quite cover everything you need then look at Jira. We use it for everything from our support system, document management, "Server Status" and infrastructure, and project planning.
It is very geared towards software development, which is what we do, so may not suit your needs. I very much work from the GANTT and Kanban boards within it. Some of my colleagues prefer the backlog/sprint interfaces.

A bit off topic, I'm luving LastPass, I don't have to trust Google or any other browser with my passwords, well worth £30.00 a year!

I use Jira, as that works really well for software development, especially 'agile' style of projects but will work on anything. And it is free for up to 10 users so worth a look at.

(Atlassian - the overall toolset company includes Trello - Trello is good for less complex and perhaps more 'strategic' projects requiring collaboration )

Many rave about a tool called Monday, I had a look but frankly found it not as good, but that is personal opinion.

I've used Monday and it's a good alternative to Trello. I found it felt more linear and dull like some sort of extreme spreadsheet with regards to tasks. Its task overview at the time (which might have changed since I last used it 3 years ago) was also more complex and harder to quickly digest the status of everything compared to Trello's post-it note styled wall.

It will depend on the size of your operation and the type of work you are doing. I am only a one man operation developing spreadsheet tools, so for me OneNote and UpClick is more than good enough.

Where I currently work they use Jira and it would be complete overkill for me. It is a great tool and will have everything you need. I would say there is a bit of a learning curve with Jira and when you are setting it up you need clear goals - my employers did none of that and it was a disaster.

You'd think that there would be one package that did all of this!

I would rather separate products to be honest, they specialise in their own roles which means they do a decent job over all.

Wrike is more used so I don't forget things, I will go into a meeting and we will cover 50 different things, some now tasks some later down the line and some pie in the sky. I add them all and then can review them before making decisions.

Clockify is great for onsite work and the ad-hock support. I tend not to use it on day work unless I want to keep track for my own benefit to ensure I am not under quoting.

Workona is brilliant for task swapping in the browser. I can switch between browsers, I often have 50+ tabs open and get carried away with opening tabs as I find relevant things. I can then filter this down into manageable and usable chunks. When a client calls I can immediate open their website, the backend, my github and any related docs I have been using for things like APIs

Onenote has always been a stable for me, I love it.

LastPass is a must these days or a solid password management like1Password

As an agency we use monday . com and I cannot recommend it highly enough.

Our approach is very team orientated, and our projects are often very task led, so on that basis Monday is a perfect fit for us.

Where a project is reliant on input from multiple team members, and task completion is reliant on 'other tasks', it works beautifully and the workflow automation is a huge time saver.

Their boards/workspaces have hundreds of built in templates, depending on what your tasks are. For example, if you're managing a social media campaign, they have templates for it. If you're managing a accounting project....they have a template for it.

Drawbacks...it is expensive as you add multiple team members. Other than that, I really cant think of any.

I've been playing around with most of the options people have been talking about but I came across one called ClickUp which is amazing! It fits my workflow perfectly and it is not ridiculously expensive like some of the other solutions. The free tier is almost all I need which is cool.

The problem with that approach is you're forever switching between different sites, and you'll need to enter things twice.

Wouldn't it be easier if they were all one system, so you just enter the data once, and all the data pulls together into a single overview? There's a lot that can be gained by combining the data and analysing it.

I highly recommend using Vault-ERP to manage your business project management tools. I have seen firsthand the benefits of implementing Vault-ERP in an IT company as we use it ourselves at Rare Crew. We have seen efficiency and productivity levels increase immensely since we incorporated Vault-ERP as the heartbeat of our day-to-day business.

Do you recommend them because you are employed by them as a Business Development Manager?

Jira. It's made by Atlassian. Kanban style of doing things. Easy to use and it's free for up to 5 users.

Another alternative simplified version that's also free is Trello.
