Staff Holidays - Keeping track of them?

With our gradually expanding workforce, we are finding our current system of keeping track of staff holidays is a nightmare.

Current system: Bit of paper that has 28 days at the top, staff member has a days holiday, cross it out and it becomes 27

Any simple solutions or ideas for keeping track?

We have 5 fulltime and 1 part time at present.

Any ideas would be much appreciated.

I think I should have said, my knowledge of spreadsheets is zero

I also could do with the system having some sort of calendar, that would show and account for pre-booked holidays, etc.

Use an annual wall planner you can then see who is off at the same time! We do it this way - works very well. The first at the top of the box gets priority as they booked it first!

Have you thought about also bringing in annualised hours it might really simplify things especially if there is any element of flexible working etc.

For a diary you might be able to use google calendar if you want people to be able to see them online or outlook.

Sorry to sound thick but could you expand on the annulised hours thing? We have part timers and all manner of flexible arrangements and it's a nightmare calculating pay for bank holidays etc.

Heck even a well organised file with good old paper in it will help you out!

Back in the dark ages before they invented spreadsheets and we used quill and ink - we had a file with alphabetically filed names and behind each one was their holiday request form and the front sheet was just dates added so that you could see how many days they had left ... of course these days you can have all sorts of wonderful things!!

Annualised hours - I think business link have something.

Been on my plans for 3 years now just never got round to it but wish I had it would have saved a lot of problems.

It is easier for people to just add up the hours they have done with a target for where they should roughly be each week than all this well they work so many hours but then they were ill and oh they upped their hours there and then dropped them back down and then took a half day and were late an hour a day that week because and and and ....
