PayRoll - Outsourcing or In-House?

Hi Guys,

We are looking at taking on a second retail shop very soon and will need some full-time staff to manage it. Thus, looking at taking on paid staff.

Thinking of possibly out-sourcing the Payroll to our accountants (If they can do it for us) or alternatively looking for an outside company who specialise in this. Or is it best to keep it in house?

Would like to hear your thoughts.

Hi Mark,

Well personally, as outsourcing can be the trend nowadays, I think the sensitive nature of payroll and money must be kept in-house. Just to be safe--but that's for me.

I have seen services being outsourced such as data entry, back office, admin support, writing, programming, graphic design, web development, social media, but when it comes to handing monetary affairs, I think it's better you keep it in-house :)

I use MyPAYE.co.uk and this is a pound a month per employee and integrates with my KashFlow accounts (can do other integrations) and takes a few minutes to run (once it is setup, but that's not a long job).

Not sure if it is appropiate, but my "refer a friend" code is MPY1121M6 which gives a free 3 month trial

I appreciate what you're saying but outsourcing your payroll to your accountant is not going to cause any problems at all. He/She already knows more about your business and finances than you do.

Many people outsource payroll, me included, with no problems whatsoever.

For the same reason that shopkeepers (as a rule) don't repair their own roofs. Horses for courses.

    there is easy to use software out there (I like Moneysoft) that runs payroll for you. That is fine if you understand the laws that apply to employing staff, holiday entitlement, maternity pay etc. A good payroll provider will keep you right on these things and give you a heads up if your employment policies need looking at. Your accountant may be excellent at figures, but may not be fully aware of employment law requirements.

    I would recommend outsourcing to a professional payroll and employment law supplier.

    My book keeper does my payroll for me. It means I'm not forgetting to pay NI or anything else I need to be doing! She's cheaper than using my accountant. Definitely worth shopping around but for all the reasons mentioned above (laws, holiday pay, sick pay etc) I would outsource it.

    Outsource to a payroll specialist - it is a no brainer to me

    Okay you can do the weekly figures as can your accountant - but not very efficiently probably

    Now wait until someone is sick - leaving - starting SMP - SPP - the rules change

    I could go on

    Oh its all easy ... you wait

    But it is if you have a payroll specialist and someone to turn to that lives and breathes these things on a daily basis and across many firms

    Your time is worth more to your business than becoming a payroll specialist

    I think most people have said it already and my opinion is based on working for employers, accountants and now on my own processing other peoples payrolls.

    In my opinion it all comes down to size and how many people you employ. If there is scope there where payroll will require you to employ someone to focus on payroll then it is worth doing it in house. But bare in mind you will have the software, support, training cost and of course the person processing the payroll for you.
    Alternatively outsource it and don't worry about any of those associated costs.

    In regards to the concerns about someone externally handling the monetary values for your staff, most payroll service providers don't touch the money, simple advise you on what to pay and when.

    I used to do my own payroll but outsourced it at the start of the tax year. For me it was just another time consuming annoyance - I like to triple check everything and when you are tired and stressed - payroll can sometimes become quite complicated and frustrating. Other times its quite simple to do.

    Its relatively cheap - I have got an accountancy firm (not my accountant) to do it and funny enough it works out cheaper for my business than the time it took me, the cost of wage slips and postage etc

    Its not all been flawless however, they messed up once but managed to get it sorted.

    I use http://www.12pay.co.uk/ its free and so easy to use, once your set up you simply enter staff hours and print out the payslips, All HMRC forms are done also as well as P45s and P60s etc.. all on blank paper from your printer.

    Even accountants use this software, even the full paid version is only £59, but the free version should be ideal for you. Even if you haven't got a clue about setting it up, you could get your accountant or bookkeeper to set it up for you.

    As long as you can type peoples hours and print, your saving £££££'s each week

    The Free version is fine for a small businesses although the paid version is even better at only £59 approx. If you like easy then this is definitely for you, Beats paying £30 or £40 a week for a small payroll

    yeah despite operating a payroll for under 10 employees, every couple of weeks there was always something less ordinary (if you like) to deal with. Even more so what always confused me was half the employees were part time, and the holiday pro rata rules always tricky, as the various official calculation methods produce different entitlements.

    Obviously the choice is entirely up to you, but as you say you are opening a second retail shop I imagine you will be very busy?

    It may be better to outsource until you get settled, work into a routine juggling both stores, and see how well you are managing. Then, if all goes well you can save the cost of outsourcing and begin to work in house. This way you have a level foundation ensuring that you are not missing anything.

    It could be disastrous if you try and do everything in house and months later realise you have been forgetting something important, or doing something wrong. Mistakes happen!

    Good luck with whatever you choose.

    Don't use your accountants - they will be expensive and Payroll is not that difficult. If you don't want to do it, use an outsource company (that is not an expensive accounting firm).
    Alternatively, if you use SAGE as your accounting package, I believe there is an add-on package, called SAGE Pay which will do it for you.

    Interestingly our accountant is looking to ditch the payroll side of his business. He currently employs someone four days a month to do all his clients payrolls (and I assume makes good money out of it) but says that he just doesn't want to risk being liable for fines under the real time reporting if she ever goes suddenly sick at the wrong time.

    He claims it's a service he doesn't need to do and will happily train us to do it instead for ourselves, so we can save a few quid. What he doesn't see (as, like so many accountants, he only sees black and white) is that it's actually not about the cost to us, but about the convenience and time he saves us. I have no doubt it's simple, but if I wanted to do stuff like that, I would have a business doing stuff like that.

    I Was doing same like you. I had hired Indiaoutsource.co for part time to our accountants. And now, they is currently working for me and they work is very satisfied.

    Op was from nov 2013, you replied over 2 years later. Hope your accountants don't wait as long to give advice.
