Business Email Accounts - Shared Inbox

Currently I deal with all emails myself and have my business email address with my domain name connected to gmail so I read all email and send all emails from gmail, this works pretty good to be honest and emails are sent with my actual domain emails utilising gmails service.

Problem is I want a couple of staff members to be able to read and reply to emails from there own account also from a common email inbox ..

Any suggestions on how other businesses do this and what provider they use and setup..

Any advice would be apricated

Most email clients let you set up a shared account. You just usually need to be all using the same client.

    I would avoid all this Gmail stuff completely and run a proper business /corporate structure

    Dont use a Gmail account for business people will think your the rag and bone man!

    I think its near impossible to have multiple business users on a Gmail account for me it would be a feckin nightmare

    There is a difference between GMail and Google Workspace. Google Workspace is designed for business use.

    There is also Microsoft 365 which is also aimed at businesses and supports shared mailboxes. Frankly for the money Microsoft 365 is pretty hard to beat. I'm on the Business Premium plan.

    That makes no sense at all from you! It's called Google workspace he uses and an enterprise level system allowing you to use your personal Gmail address with a business domain name. Quite nifty system used by a lot of cooperations.


    For the op problem look into a crm system if you want to deal with different users dealing with inquiries. A crm will provide better control and accountability of the users.

    Thanks I'm open to any email service as long as there easy to use and implement. I'm sure I looked at google workspace previously and it didn't seem straight forward, I'll re-visit it.

    Microsoft 365 any good ? Can I pay for one account with MS 365, link my domain for emails then add for example

    Please read the actual post he wrote and if not familiarize yourself with gmail and workspace.

    The OP mentioned managing all emails personally and linking a business email address with a custom domain to Gmail. However, this particular configuration is exclusively achievable through Google Workspace. The use of Gmail consumer services with a custom domain is not feasible without the utilization of Google Workspace.

    Now, when it comes to Ionos – mentioning it for business operations? Sounds like a blast from the past, indicating a seriously outdated setup and communication flow setup.

    And let's talk Ionos' email system – pricier and more outdated than Microsoft Exchange (365) or Google Workspace. Offering fewer features at a steeper cost, it's like paying extra for a retro email experience! They do offer 365 reseller options but again more pricey than buying direct!

    Do yourself a solid and bring in a professional IT wizard if the mere thought of setting up Google Workspace has you scratching your head. It's like the IKEA of office systems—super user-friendly straight out of the box. If the setup feels like a brain teaser, maybe safeguarding business and client data isn't your DIY project.

    Instead of banking on free advice from forums, invest in a pro who can fortify that digital fortress. Both 365 and Workspace have pre-sales and tech support ready to ride to your rescue.

    And let's be real, in any other forum post on here , folks are quick to drop the "What does your solicitor saying or accountant think?" bomb. Well, the same should go for businesses playing with client data—what's the IT support squad saying? IT support is probably cheaper than you spending many hours doing the courses for each setup.

    I re-read it again. They only mention bmail. The fact that you have the knowledge to know that what they describe is only available with Google workspace is not my problem. The OP does not appear to know they are using Google Workspace either.

    Its helping to pay for my Greek villa and at the end of the day its a business forum and not a technical forum.
    Its all about money in the bank I'm afraid

    I will only share my experiences where I have seen success and also highlight the things that are best avoided from what we have seen

    Your a data analyst and you will examine every dot the OP writes but that approach does not work in an everyday business environment
    You have resorted to an in-depth investigation of the OPs post then arguing with members who dont have the time to do such a post study

    I bet you have a monitor lying on the desk with a microscope

    Not entirely right, I use custom domain registered through 123Reg and a personal Gmail account. Have it setup so email to my personal domain go to Gmail and my replies come from my personal domain.

    Assuming Google Business, create a group address e.g. info@ and everyone in that group will get the email!

    Don't use personal Gmail, so cannot comment on that!

    I think everyone is over-complicating this. Just set up an email account like [email protected] and then share the login details with everyone you want to use it. Job done.

    Yes this could possibly be an easier solution.

    I've just found another also for anyone using Apple products with a small team <5 staff.

    You can add your own custom domain free using Apple/Icloud then create any alias emails you require and share these with upto 5 people, then create a common access account.... saves buying Office 365 or Google Business account if you don't need the extras..

    You can set this up so you receive into gmail from you custom email and reply via gmail from your custom email this is what I do and it works great.

    My requirement in the original thread was for a shared email account, so there is a traceable history of emails that both users can access.

    I do this currently.. with my custom domain and a normal gmail account.

    You can "send mail" as and "check mail from other accounts" all using a standard gmail account and using your custom domain pop and smtp details. all emails and received and sent from my custom domain via email and show as being sent/received from the custom domain.

    I've also just found out I can also grant access to share my account within gmail also under the settings tab so, there looks to be multiple free options in gmail and Apple mail to do this.

    Not sure why everyone is making this so complicated. Email clients like outlook and thunderbird already have options for shared email accounts. No need for using gmail or office365.

    Create the email account in you domain cPanel and follow the instructions for the email client you are using.

    @NEF A few here have recommended Google Workspace, and that does give you the tools mentioned with a management interface to control access and each having ....and if you upgrade to Business Membership here you get 10% off through this page.
