Accounting software advise...

Hi all.

I've been using Sage 50 Accounts Professional for 10yrs now and I'm sick of the way they do business.

I first got signed up by a previous employee in 2013 when she began working for me and decided my methods of using Excel & Access were "old fashioned" and I thought she may be right. However, when she left... I was left with her solution which I knew, and still do not know a great deal about.

Since then I've had several people through the door who have dealt with it, so I haven't needed to. But that aside, I think Sage's business practices and pricing lead alot to be desired.

I was using it as stand alone until 2018 when they offered me a "special deal" with the pending HMRC MTD (for VAT) looming. Up until that point they had been trying to extract £1500-1800 a year off me annually for "software updates and telephone support". I got called up and they offered me the lot for £600 for the year, but (and here's the sharp practice) offered to spread the cost at £50 a month. I took it, not aware I had just been switched to an ongoing subscription service and my standalone desktop software was about to become null and void.

I've since been on the subscription, for which the price has forever ascended and they've removed telephone support, so I'm just paying rent for the same software year on year and if I get a problem I can't solve it quickly... I've just got a notice of price rise in May which is going to take it to around £120pcm +VAT.

I've called them a few times about the cost and they always say there's a cheaper subscription available, but the sticking point seems to be delivery notes. We dropship for a couple of customers and need delivery notes - they always tell me the cheaper versions don't have this feature. They openly tell me Professional is for multi-million pound enterpriseses (we are sub £1m turnover)... but then tell me the other packages don't have the delivery note facility, so tough.

Anyhow, business isn't great at the moment and I've no longer got admin help to use 50 Professional, I have to fully learn the software myself - and if I have to learn the other 60% of the software I know little about... I may aswell swith to a cheaper competitor.

Would appreciate recommendation on alternative software for a small business, something that can generate delivery notes. I also find Sage incredibally un-user friendly, a pain as our version is PC (I'm a Mac user otherwise)... there must be a better alternative available for my circumstances.

    Advantages - it's free. It does any number of currencies and/or other things you need to account for such as stock or gold coins or, well, anything. It is a proper double-entry accounting system.

    Disadvantages - looks a bit old-fashioned. It can only deal with one entry point - so no use for a multi-till shop. You have to configure it yourself for things like the VAT rate, etc.

    Xero lover here but agree with @The Byre they probably all do pretty much the same these days. Have used Sage but interestingly never really got into it after seemingly spending a fair bit on from memory, then in fact dumped it for my own array of excel spread sheets for several years before converting over to Xero which I have no problem recommending to anyone to take a look at and see what they have to offer.

    I'm no fan of Sage feeling much the same as you do stuck on their system because of a lack of available alternatives. They do have a solely cloud based version of Sage that exists and is much cheaper than Sage 50c. That is Sage Business Cloud. They have a couple of versions. The featureset has significantly improved in the last couple of years since I last evaluated it. It does delivery notes:


    Do bear in mind Xero, Kashflow, Quickfile are all cloud based solutions also. Unlike Sage 50c there is no desktop app. There is no ability to take your own backup and roll back if you screw something up or test if doing something this way or that way would work as intended. Just make sure you understand exactly what it is you are changing from. A desktop application to a wholly web based one. Its the way things are moving however there are advantages and disadvantages to both that you should carefully consider.

    Being a proponent of Open Source software myself where I use Linux as my OS and remote into a Windows computer for Sage or use it in a virtual machine I have found that GNUCash is great software but has a very steep learning curve. If you struggle with Sage you'll struggle to set GNUCash up right IMHO.

    From what I hear, it seems that they have reached the point where it would be cheaper and quicker to hire a modern Bob Cratchit to write up delivery notes and invoices and enter everything into a ledger using a whittled goose feather quill pen.

    We tried Sage 22 years ago and it was one disaster after another - customers were complaining that the moans and shrieks coming from the office when the books were being done was putting them off and the memory of those noises kept them awake at night.

    In the end, we got some simple programme written for us based on SQL and something else, so we have to bridge for MTD. I asked our Mrs. M. to try GnuCash and she looked at me with a steely glare through her bifocals, pursed her lips and very politely but firmly told me to F-off.

    Thusly chastised, I played with it and set up some test accounts and it seemed straightforward enough. But if people ask me for bookkeeping recommendations and they have about ten employees or more, I recommend SAP. They have interesting packages for SMEs, though TBH, they are far more suitable for the Ms than the Ss.

    I'm more than happy with VT+.

    I wouldn't touch anything where I don't control the data and access to it (i.e. no cloud).

    I am staggered to read that the cloud based solutions do not allow local back up. Is that really true?

    They allow exporting of data to CSV files but none that I've ever seen allow an actual backup of all the data.
