Hi Folks,

Iv personally went a made up a list of people I want to contact and their email address I am trying to put together my first email and wondering if anyone can help me just get the content right to get a reply

it goes

SUBJECT:- EVENT NAME AND DATE

Dear....

Please forgive the "off the wall" email but I wanted to get in touch. I believe you are the organiser of () and the best person to contact regarding the catering concessions at your event.

We are looking to find out how we go about applying for a concession at this year’s event.

We are an award winning catering company with an enviable reputation for providing outstanding catering service which event organiser are constantly telling us is benefiting them as they are getting better reviews from attendees.

If your intredted in reading a little more about us I have attached a little more information for you otherwise it would be great to find out how we can apply.

Again sorry about the off the wall email and thank you for taking the time to read.

Best Wishes.

These aren't warm leads - unless you have already talked to them or had some other sort of communication.

If they are running an event they will probably have a website and that's where you will get info about concessions. I'd do my research first and only if you can't find out what to do send them an email. And keep it simple, you only need to ask them about how to apply for a concession stand. They don't care about your awards or reviews for other events.

Given they are the organisers of events and you are looking to buy into one of their events, why on earth do you think they wouldn't respond?

As Fisicx says, just keep it simple. Something along the lines of:

    SUBJECT:- EVENT NAME AND DATE

    Dear....

I understand you are the organiser of xxxxxx event and the best person to contact regarding catering concessions.

Could you please provide application details or advise on how we can apply for a concession?

    Thank you in advance.

    Regards

    I'd change the subject line:
    SUBJECT:- EVENT NAME AND DATE
If its their event, your message is not going to stand out. You need something that is going to make them want to open your message.
You don't think they'd notice or want to open up an email regarding an event they are organising? Are you having a laugh? :D

That said, I'd tweak it to say something like 'Enquiring about your xxxxx event'
