Tips and tools to manage tasks (task manager/ToDo Lists)

Does anyone have any advice on how to manage your workload?
I am sure most business owners can relate with the never ending workload we all have to deal with. It sometimes feel like we are trying to spin 100's of plates at once.
I have tried many software tools and tips but I have not found a solution that suits me and that I find easy to stick with.

I have tried using;
  • Google Calendar,
  • Apple's todo list,
  • Remember the Milk
  • White board
  • and good old notepad.

It would be great to see what other people use and suggest.

Google with various plugins more than works for us. Boomerang (used in gmail) is a good one to keep on top of emails when they need follow up/chasing.

We have android phones so the tie in works well - emails/calendar etc both on pcs and laptops and tablets and phones - no syncing - no headaches when there is more than just one of you to keep in the loop.

I've found a pen and paper works best for me most of the time. I often use text documents (notepad, word etc) to jot down notes/copy and paste stuff, manage todo lists when I'm working on a project and constantly having to add new things to add/change. Trello is a good web application for managing projects, you could try out Evernote too if you want to be able to easily sync between tablets/mobile devices/laptops/desktops/etc.

Well, having just read "Time Management for Dummies" by Clare Evans, I am now trying to get more organised and use my time more efficiently. I do a daily "action list" (as opposed to a to do list), and I make sure I keep my Filofax and Outlook (which then also syncs with my BlackBerry) up to date.

I check my Filofax every week for things that are coming up, and keep a list at the start of each month of the things I need to do during that month. I will also put reminders on specific days (or a couple of days before if it's a major thing).

I am making a list of the documents (including emails, letters, etc.) where each time I'm typing practically the same thing, so am looking to use templates wherever possible.

I also plan to spend half hour late in each afternoon (possibly 4:30pm) to do a review of the day and do a list ready for the next day.

But basically, the book says that (as with most things) you should find the systems that work best for you. What works for one person would be completely alien to someone else.

Currently use MS outlook. I have the Task function open all the time, just a to-do list.

I use the Calendar as a Bring up system, ie drag and drop emails etc into dates in the future.

First thing Monday 6th I created an email to myself with all the things I'd like to get moving on, runs to about 30 sales type projects to try to generate.

Run a paper diary as well as Calendar.

My next laptop will be Apple, so I'll be interested to see what theyve got.
