Microsoft 365 Backup

Hi all, we are looking into getting Microsoft 365 backup and signing up for some sort of cloud support that would do the bulk of the work for us. We have about 10 accounts and need all email, files in SharePoint, OneDrive, Teams etc. to be backed up. Searching online it is all a bit overwhelming, can anyone recommend a provider they use or any other feedback. Thank you!

You need to set up a Microsoft 365 subscription; it will give you access to MS software with SharePoint space.

With minimal IT knowledge, you should be able to set it up by yourself, but I will advise you to use somebody with prior knowledge.

I did sth similar for my wife's company so I can help.

Depends how much data you have to backup and what retention policies you require. Personally we don't backup the cloud to another cloud as costs would be quite high for us. Instead we use a synology nas which has a build in client for native 365 and Google workplace backups out of the box.

It works really well and currently about 100 accounts, several sharepoint sites, ondrives and teams account all being backed up.

To keep cost lower as the initial hardware is more expensive we partnered with 2 other businesses to cut costs down. Break even point versus cloud in our case was 14 months after that we save money.

For added layer the synology is replicating data to another nas offside.

Thank you for this. We are a company of about 10, so it's not a huge amount of data, just email, files, Teams conversations etc. Everything I look at seems to be aimed more at larger corporates, do any small businesses out there backup data to the cloud, do manual backup as Nico is doing or is it something that is not felt important enough?

We back up everything to a local machine and to the cloud, so if there are any issues with O365, we're covered.

We use Veaam, which works well

Not expensive enough to consider not doing it.

The 5 TB into 1 TB per user looks like the home plan, not a business one, which might cause issues if you run it for the company. You will definitely lose some business plan benefits.

I've got Microsoft 365 for business. Must admit never thought of backing up the data as it's in the cloud.

Is it common for Microsoft to lose data?

Had a look at Veaam. How does that work. Does each user have to install the software on their desktop to back up to their service.

In theory MS is making backups so not. However, in a case you will be blocked from accessing MS account I would advice to consider a back up.

I have never used Veaam so hard to answer about it, but making an educated guess j will say you have to. Mostlikely you should be able automate it with Doman controller or other orchestrator

It can go wrong the same as yours or mine.... and despite pleas of security from providers, you don't have a clue who has been in to what.

A local back up under your own controil is vital for anything that cannot be replaced.

I use multcloud to backup Googledrive to OneDrive and vice versa. There are also options for Synology and your own VPS/NAS which I'm looking into. Since it's all handled by their software you don't need to have a machine on 24/7 unless you are self hosting NAS.

OK good to know. We looked into the Microsoft backup, but it just seemed unbelievably complex, which led us to look elsewhere

If you use the cloud then it's VERY important that you do both. Well, not literally manual but local as well as cloud backup.

Yeah I have a external USB for backup too. Not relying on backup on same drive,cloud is my offsite backup. I'm also looking at getting a nas. I did think about a colo storage server not really local but easier to host and I control.

No, it is a 365 business plan for up to 5 x PCs.

Microshite will split it at 1TB but you can easily combine it. However, it then forgets and reverts.

I haven't pushed it past 1TB yet as I don't actually fully understand it.

In my head and I could be wrong, it is mirroring what we have locally or perhaps not. Sometimes I think it is and at other time I think not.

It is not straightforward.

Having backups is only half the solution; being able to quickly and efficiently recover data is crucial.
There are a number of reputable cloud providers on the market. In my opinion, you should request demos from the providers you have identified and ensure the chosen solution meets any requirements you may have.
Alternatively, if you could specify exactly what you require, it would be easier to point you in the right direction. Backup and storage constitute an entire branch of the MSP segment these days.

Yes agreed recovery is just as important as backup.

We have decided to go with Alcion, following a trial. They were well priced and, importantly, setup and management is incredibly easy. Backups run every day with email notifications.

You can just use one copy tool like Goodsync or Gs Richcopy 360 that can directly backup your email accounts from cloud to cloud directly, easily, and quickly, both are ideal for this task .
