We have several websites and find ourselves entering the same customer data into various applications upto 4 times for each order.
At present, if we have a telesales order, we have to do the following steps:
1. Enter customer payment details on virtual terminal (if websale, print off the order)
2. Enter same details on Act crm
3. Link to Sage, then create invoice and delivery note
4. Enter customer details on delivery service site
5. Email delivery note to pallet delivery company
6. Enter consignment no. and any notes on ACT crm.
7. Post invoice to customer
What we need to happen:
1. If telesale, enter the customer details, order details and payment details on back office, if websale the customer enters this information.
2. Approve payment with virtual terminal- first click
3. Enter on ACT crm- second click
4. Enter customer details on Sage- third click
5. Enter order details on Sage- forth click
6. Enter payment details on Sage- fifth click
7. Select courier and send delivery details- sixth click
8. Send delivery confirmation email & invoice and/or text message to customer- seventh click
With the above system, each order would take a matter of seconds to complete in the case of a websale and a couple of minutes in the case of a telesale.
With our present system, it can take 10 minutes to go though the order process - this has been acceptable until now, as each order was a relatively high order value and orders would not exceed a maximum of 10-15 a day.
Looking forward with the new www.toolsandpowertools.co.uk website, average order values will be lower, but the quantity of orders will be considerable higher. We need to automate the whole process.
Is there an off the shelf system that links the above processes together?
Any suggestions would be greatly appreciated - what systems do other e-commerce businesses use?
