Bookeeping Programs and problem

I have spent some time getting my head around a simple bookkeeping program called SimplyBooks and it is pretty much what I need- I think. However I have an issue with my three largest suppliers. One supplier that provides me with my main goods send both VAT and non VAT goods. In my hand written cashbook I just eneter the invoice amounts in and it is done but with the program I need to enter the bank payment. the bank payment works on a deferred payment scheme and so the amounts taken are different to the invoices and thus the VAT percentage taken each time is not made known. I therefore cannot create an account in my program for this supplier as I cannot apportion a balance to VAT when I compare invoices to payments.

Am I being daft here? Any help will be much appreciated.

    Haven’t had any experience with SimplyBooks so don’t know how it works. However with most accounting packages the VAT is calculated when the invoice is posted to the purchase ledger rather than when the invoice is paid. When entering the invoice onto the ledgers you can usually override the automatic VAT calculation to take account of instances where you have VATable and non VATable items on the same invoice. Paying the invoice simply clears down the creditor and credits the bank account and VAT is not normally an issue at this point.

    Another question for your accountant methinks.

    That seems to me a contradiction. If the software cannot cope with what you need to do, then IMHO it is not what you need, and you might well be better off not using it.

    You might consider taking a look at TASBooks which apart from being generally user-friendly can:-

    Enter multiple VAT rates for any transaction.

    Change from VAT cash accounting to accrual without needing to start from scratch.

    Probably more expensive, you get what you pay for.
