It sounds like you have an existing system that's quite complex and that you know very well ... so you need to prepare a specification document that details exactly what you can do currently from both a customer perspective and your admin perspective. Also prepare a design brief for how you want the new site to look. Then send this to any agencies that you've researched and show a good portfolio of similar work.
