We're about to share some space in a shop with another retailer, we are the official tenant and we are providing around 8 square metres of retail space to a concession.

The landlord is happy to provide permission but what legal document do we need to issue?

Following this... I'm entirely online, but was wondering about this possibility either teaming up with someone or asking an existing place if u could have a bit of space

It can work, but you need to set out a proper agreement, and it also depends very much on your business, especially if you're one that has a lot of visitors/clients visiting you. You don't want the other firm's staff being rude towards your people. It can also be very difficult if you're sharing an "open plan" space.

You need to seek a solicitor to draw up a proper legal agreement for this. 8 square metres probably seems trivial but there are so many things that can go wrong. I remember a person who rented a concession on this forum a few years ago and things did go horribly wrong and it was quite an epic story in the end. What you need to be careful of is exclusive use - if you give them exclusive use in any way, they can get security of tenure in some circumstances to you need to make sure the space is genuinely shared. But there are so many more issues than pure property ones, staffing being a big one.
