Sending letters to EU from UK (Customs) questions

Hi, I am very, very confused by this, and I need some help/clarification.
I will start sending normal letters that will contain a letter (document), a thank you postcard, and 4 stickers to some of my customers. I run my own small company.
These 3 things will fit in a small or medium letter, and they are gifts. I am not selling anything. I am worried about customs. I don't want my customers to pay anything for this letter.
I will do this through normal Royal Mail and attach the customs declaration (CN22) indicating it is a gift and the content.
Can someone tell me if this would be correct?
I will probably do this to EU and out of EU.

I am very confused because recently I sent a small package containing a gift for a relative in Spain and they have to pay customs, and the same happened when I sent a letter to another relative. These 2 letters were personal, not through my company.

I need some advice on how to deal with this, I don't have the capacity at the moment to signup for VAT or any other system (My business is just 2 people starting out). But I will be ok using a third-party company to send my letters if that makes things smooth.

Thanks, I appreciate any help!

My understanding is that letter sized personal correspondence does not require a CN22. I send these every day across the world and have had no issue! All I add is a return address and a S10 barcode to the reverse.

If it is letter sized 'sales' then in theory yes you do require a CN22 and VAT would need to be paid at the receiving end.

You sent a small package - that's a different ball game and will incur VAT and possibly other charges!

I could understand the VAT about the small package but I sent a small letter a few weeks ago to a relative and they have to pay customs as well! Maybe my mistake at that time is including CN22?

How can I get an S10 Barcode?
What if it's just a letter to a customer? (Thank you letter or a postcard?) I shouldn't need a CN22 right?

More than likely if you put a value on the CN22 then this is what they will use to determine VAT to be paid!

S10 is if you Frank your mail - you may not need this if you pay for postage or use Click & Drop etc.

    That is correct!

    Thnk you!
I think I should do some tests, see how it goes. If anybody else have some advice/recommendation I'd appreciate it a lot!
