Quote follow ups? How to ...

Hi

One thing I would like to ask your opinion on please ....

I have a online quote form that visitors to my website can fill in if they want a quote for say a website design.

In this form I give them the option of how they would like my response i.e by email by phone etc. I then go onto and do their quote which is usually emailed back to them as the majority choose "contact by email".

I just wondered how I should follow these up if say a customer asked for a quote reply by email, which I do but then say 2 weeks later I want to follow this up .... do you think I should email or perhaps call them?

I really do not want to push customers ... this is NOT my style but I would like feedback on my quotes good or bad without pestering anybody!!

How does everybody else handle this?

I would call. You have emailed them the quote as mentioned and now you must make a follow up call. I think this is important as they then have a voice to put to the quote if nothing else because at the moment you are a cold figure on the internet that has sent them a word document. Making a pleasant call to say " Hi its Joanne here from Poopy design, you may remember a week or so ago you contacted us for a quote to build you a website, my call today is really to discuss that quote, answer any questions you may have and get general feedback" let them speak and find out the following:
Timescales
Budget
Decision Maker process

Don't be afraid to ask for a deicison or a timescale for a decision so your not calling him every 2 days or your not wasting your time.

I chase quotes up to the death haivng made a note of every last quote I give no matter how small or big.

So Joanne i'll be in touch shortly :)

PS. I even keep in touch if the job has gone elsewhere incase things don't go to plan.

I had to check the name of your business there for a minute! lol

We chase up most quotes, as often its a case of people not getting round to getting back to us. However we chase email quotes usually with a further email and a call with a call etc. Some people really like the fact you take the time to call them and if you didn't get the work you may get a reason why.

Maybe if you have an online quote system you could have a box for them to tick for no call back?

Would be good to hear how you get on :)

They do say"The Fortune is in the Follow-up" and in a way if you don't follow up then you've wasted in your time doing the quote. You don't know if they like, if they don't like it, if they need more info, if they need you to quote for something slightly different or if they would like you to do the work but later. It's all very well to say "call them" but it's the most difficult thing in the world especially when - quite rightly - you don't want to be pushy.

If I ask for info on someone's site I'm completely put off if there is any hint of " a salesman will call" and yet I don't usually mind if someone calls a week or two after my enquiry. But I would expect them to accept a "no thanks" and not be pushy at that point.

Maybe you could try it with a few and makes some notes on how it goes. Have a check list when you call. Not a script (hate them) but something to help you make notes before or after the call.

There's a downloadable call sheet in the direct selling on my BusinessVibe site here. It won't be entirely suitable for you but it's in Word so you can adapt it.
