Hi

Has anyone or does anyone use Quickbooks Online?

I've signed for the Pro Online service to do my book keeping and find it really fiddly. It seems like they have just imported the US version to the UK.

Basic things like, recording employee salary payments, vehicle mileage allowances, reimbursing employee expenses and dividend payments seem to be very complicated with no correct category set up for them.

In addition, there are quite a few bugs. The credit card seems to revert to $ when reconciling the balance without any warning and some of my supplier invoices have been double counted.

I will ring Quickbooks tomorrow, but has anyone experienced the same?

Hi Andy

To be honest, things such as recording salary payments could be fixed by a simple journo in the system. I dont think there is a specific feature for mileage allowances, but again a journo should set it straight.

regarding the bugs, i have many suppliers who i have set up with US $ as their currency and i havent faced such issues, what have you set your home currency to? on the top right hand side theres a little globe' icon with a chevon, click that and the home currency should be stated there :), it should be £ pounds sterling.

With your supplier invoices, just click on 'suppliers' tab > then click on 'supplier list' > find the correct supplier and double click that supplier, when you drill down into the supplier, all the associated bills (suppliers invoices) will be listed, make sure you havent entered it twice, if you have just click on the 'extra' one and on the left hand side theres a delete button and erase it :)

if that fails.... call their support number its a free phone 08082345337.

And.... if you go to their 'help' centre they have a community there where you can ask questions and sometimes i think their staff also monitor it too.

Just an update for those who are interested:

I spoke to Quickbooks Support who were absolutely useless. They said that features like accounting for paying dividends, salaries, reimbursing expenses, calculating corporation tax were not available for the online version.

This pretty much makes the online version useless.

Their suggestion on dividends was to make them an uncategorised expense which shows you why their call centre is in India!!

I've emailed the UK Customer Service people who will hopefully be able to shed some more light on why Quickbooks Online is missing the most basic of features.

Quick question, do you have a qualified accountant? The issues you are experiencing are things which a very simple entry would sort out. I suggest you Google 'how to account for dividends' where its very clear about the movements and entries you should make.
I'm surprised that the call centre which I believe is in India have suggested that, from my knowledge its only technical help they are meant to provide, not FREE accounting advice :) , I might call them more often as they're providing such assistance ;)

And before I forget, I think you can leave feedback within their software for product enhancements etc. Give it a try, I wish you good luck and I hope you find a software which helps you.

There are definitely bugs with Quickbooks Online. The credit card bug has been acknowledged by Intuit and they are looking to fix it. It doesn't have any material effect on anything, but it should display the currency the company profile is set to.

The bug with Online Banking and reconciling with invoices has also been acknowledged by them. It happens when single payments are made for more than one invoice, Quickbooks tries to match the latest invoice even after you select the correct invoices that were paid. This also messed up my VAT return.

I have an accountant and am trained myself in this area - I wasn't seeking accounting advice from Intuit/Quickbooks, I merely wanted to know how to put things in the right categories, or create new categories. Dividends are such a basic part of company finance that I am surprised Intuit have failed to properly integrate them into the accounting package.

Some of my questions have already been asked on their forums without answer. The problem is there are no proper solutions - the suggested journal entry system is far from ideal and will create more work for my accountant.

After many hours of entering my accounts, I am a bit tied up as I cannot export the data properly. I do think could services are the way forward and it suits me as I do a lot of travelling. I could always buy the desktop version from Costco (on offer atm) but there is no way to export my accounts to that :(

I know where you are coming from but if the system isnt working for you now it might be better to change now rather than waste even more time.

My firm and many of our clients use Accounts Portal, one of many online packages, but very good. I can honestly say we never any any major issues or problems with the package and any minor issues (usually user error ;):)) are dealt with extremely quickly.

Thanks for the heads up - will check that out. Certainly a lot cheaper than using Quickbooks!
