New Software Needed

When I run under 18s discos I want each on my customers to be members, this way I can hold a photo and contact details for parents. If I have any trouble I want to match a face to the member and inform parents/police. I will have a zero tolerance policy on drugs and alcohol.

Also, I’m planning having a sign in/out policy for kid’s parties etc with a locked barrier at the door. Most soft play areas have this for security, but it’s also a good way to build up a customer database for targeted marketing.

So, I need some kind of software that will generate entries for each new customer containing a name, photo, address, email and emergency contact. Anyone know who does this software for clubs and soft play centres? Will look into Data Protection once I establish if it’s worth implementing the system.

What sort of Under 18s nights are you doing?

We have done a couple and looking at it again, but i know that they wouldnt turn up if it was a case of signing up or signing in. They are far too cool for that - maybe make it they get a freebie in return or something

The events would be ticketed so they would pay say £3.00 in advance with online registration or £4.00 on the door. We have one local night club that does them once a quarter and they sell about 1500 tickets in advance at £5.00 without problems, they then sell cans of drink at £2.50. I only really want about 75 in for any one night so I’m looking for about £450.00/night for tickets + food drink with myself, wife and three staff at £10.00/hour for five hours. That should give me about £300.00 profit per night after wages etc. with plenty of staff and not too many teenagers.

Do you have your own venue or are you travelling? I do mobile kids discos at £150.00 for a three hour disco and I get loads of bookings, but a three hour booking is more like six hours with travel and set up etc.

I might run the teen disco from 8 – 11 and try doing a pre-teen one the same night 5 – 7 or something like that?

I will get a facebook site up and running and encourage all of the kids to join and post their own pictures etc. I don’t think it will be a problem getting them to sign up, some of our local over 18s nightclubs scan your ID when you go in and register you, so do the casinos.

A local club holds such "locked" events in a town nearby and they sell easily, many parents like the idea, it's a good half way house before the kids are let loose on their own, many teenagers are not as streetwise as they like too think, so it's a good soloution.

Best of luck with the idea, the local one to myself is held weekly on a sunday evening.

I can supply you a user friendly system that will store all the data you need and can be recalled by Name, d.o.b. and address.

I am guessing that the data would need to be secure and only available to authorised users.

I can supply you what you describe

memebers list, pin numbers for access, photo database, recall by name, d.o.b. postcode.

I'm not sure if you'd need parents permission to store such data and you would probably need to get anyone who has access to it CRB checked?

Anyway, if you PM me with you exact needs i'll give you an estimate.

I normally supply by monthly lisence at between £10.00 and £60.00 per month depending on how sophisticated it has to be.

I would think yours will be at the lower end of the cost scale.
