Help required organising a business

Hi all.

Business Organising Business required!

My partner runs a wedding videography business. On the outside the company excels - it's award-winning, makes beautiful videos, make a great profit and have new enquiries on a daily basis. Perfect. However, behind the scenes my girlfriend is getting herself into a bit of a state. Her first year went swimmingly in that everything was in order, bookings, deposits, full payments, paperwork, diaries, emails, correspondence, it was all where it needed to be. Then as she built her reputation within the industry (best Regional videographer 2012 and 2013 plus best website in the industry 2013) the new enquiries were coming thick and fast she was getting more behind on, well frankly, everything. And the deeper it gets the more she's ignoring phone calls, losing booking forms and deposits and has no idea who's paid her!? She could turn this business into an absolute monster due to her skills and personality but is in desperate need to get organised and needs help. Are there businesses out there designed for this specifically? She needs a system but first of all needs help catching up. I've found one in Glasgow, but we're based in Birmingham.

    The business needs work to be delegated.

    1 - A person to answer all booking enquiries and schedule appointments, order products etc etc.

    2 - Accounts clerk for invoicing and keeping all the accounts in check. both with customers and suppliers.

    3 - A person to help with all the work that your friend is doing, so with time and experience she can take over some of the workload.

    That's just the start....................and build slowly.

    Thanks guys. Yeah, she has help with the editing and videography on occasions due to the sheer volume that she's had to do over the past 18 months or so. I like the sound of a CRM and have just been researching that. So I assume that's similar to a 'virtual assistant'? That's my next port-of-call then. I think it's easy for me to just say that she's in a bit of bother but it's digging deep into her email, going back months and months whilst also keeping up with current bookings and issues and the added 'distraction' of our wedding in April! Plus having to find funds for that as opposed to employing new staff.

    I would opt for CRM and a virtual assistant. Or a real part timer.
    It shouldn't be too expensive and could be free for the crm bit. it just requires a bit of learning. an assistant doing all the paperwork would free up loads of time. That could be done in a couple of hours 3 days per week if you have a decent online system.

    Hey. A virtual assistant is basically an outsourced assistant. So they're not physically with you, but as you might gather a lot of what they do doesn't require them to be even in the same continent^^
