Customer CRM Advice Please?

Good Afternoon,
I wonder if someone can help with some advice on a good CRM for my business?

I run a hot tub company, for the past three years we have been primarily focused on just hiring hot tubs but in the past 6 months have started offering sales, servicing and relocating hot tubs.
I already have a good booking system for the hire side so not overly worried about that but I would like to have a CRM for tracking my sales, servicing and relocations.

Effectively I would like to log my customers details, store information on which type of hot tubs and accessories they have (this can just be notes) and create automated emails which would prompt them to book in their next water change (every three months), service (annually) and prompt them every 6 months for new filters and chemicals with links to our website. Out side of this it may be the occasional email with a special offer. I'm sure I would use additional features for tracking lifetime spend of the customer etc but for now this is all I need.

Most of the CRM's I have looked at seem to have an overwhelming amount of features and haven't seen one which offers these features (that I'm aware of!)

Can anyone offer some advice or should I be looking to a company to set this up for me? It's worth noting, I have never used a CRM in the past.
Many thanks,

Gilan

Hi Gilan,
I am just starting up a Digital Transformation consultancy to help with your specific issue!
There are a few options that would suit what you are looking for for a CRM; My go-to is HubSpot or ClickUp; as you have mentioned you are looking for automation, I would recommend using HubSpot.

In terms of setting it up yourself or getting a company to do it, this depends on the time and resources you have available. If you have the time and technical ability, there is no reason you cannot do it yourself. But if you want support going through the process, it's usually better to get a company to do it.

Hope this helps!

Personally, having worked for CRM firms like Salesforce etc..., I think there are 3, different levels of CRM. At a basic level, something like Hubspot works really well.

For SMEs, Workbooks is excellent and will do everything you need.

    High end is Salesforce etc...

It's great that you're looking to streamline your business processes. Some popular CRM options for small businesses like yours include HubSpot CRM, Zoho CRM, and Salesforce Essentials. These systems offer features to help you track customer details, automate emails, and manage sales activities. Take a look at their offerings and see which one aligns best with your requirements. Good luck with finding the right CRM for your hot tub company!

Hi Gilan, Workbooks is easy to use and not expensive, in fact there is a free version for 2 users.

It's definitely incredibly easy. Also, what's underrated is it's so reasonably priced. We tried Hubspot but as soon as we started to grow, we had to pay for more stuff. With Workbooks is just comes in the box.

I second the suggestion of using Hubspot.

I have implemented it twice, once for a scale-up SaaS business and now for our own start-up. It contains everything like the website, marketing, CRM, support system etc. Because it is a all-in-one platform it is easy to get a really good view of customers and the setup is speedy.

What is also true is that you'll start paying fees when the company takes off. Our monthly fee is £42 and includes the whole suite (website, SSL certificates, the works), I think we will be able to stay in that bracket comfortably for a while.

Happy to share more about our setup if you are interested, send me a message.

    Hi Gilan,

We are using OnePageCRM which fits what we actually need, rather than SalesForce etc which is completely overkill.

How many users will you be granting access to?

there are buck loads of CRM solutions out there, so it depends on your requirements and budget as to which one you use.
they all charged by the user which is the annoying thing.
I discovered Perfex CRM a few years ago, which is a self hosted solution and you pay only once for it, its only $59.
It doesn;t have all the features that other CRM's do, but it does everything I need, project management,t tickets, billing, proposals, estimimates.
Despite the name, the CRM functionality is very weak though.

For a user-friendly CRM that fits your needs, check out Pipedrive. It helps you keep track of customer details and even lets you set up automatic email reminders for water changes, servicing, and more. It's pretty intuitive, even if you haven't used a CRM before and its cost effective.

I've seen several businesses adopt Pipedrive, it really is super easy to learn. No build or support costs needed when you can just do it all yourself.

I always recommend Capsule CRM to each of my clients if they are running a small business. It is quite cheap and sufficiently flexible in case you want to do something crazier than just typical CRM.

Stay away from Hubspot and other modular CRMs, they are just like cock-blockers, they will let you close enough to the particular functionality and then will ask a ton of money to continue using it.

PS: I also used perfex for the first two years, It is great that it is self-hosted and stuff, but it is actually an anchor that was bringing me down as I couldn't connect it with other cloud tools like Zapier. I mean... You can do it but you have to know more tech stuff avg. business owner. Pipedrive was good, however, I found it slightly too limiting.
