Card Payment Not by card holder

One of my colleagues in another location has accepted a card payment (in person) but its came to light that the payee was not the card holder.
The payee has told us that the card belongs to their client to who they will be fitting the equipment for.

No material has been supplied yet. It was an upfront payment .

Retrospectively, what should be done to cover ourselves for potential fraud claim?

Refund?
Would written confirmation from the card holder suffice, supported by other documentation (utility bill, passport, drivers licence, etc..)?

    Refuse to accept a card unless the cardholder is present to authorise it. Nothing else will be certain to prevent fraud. The cardholder is in breach of their bank terms and conditions by allowing someone else to use their card.

    Depends how much it is & whether it is worth any aggro. From time to time I send staff out with my credit card (B&Q, Screwfix and the likes) and occasionally for a couple of contractors that work with us very closely (as per your example), if it flagged by the retailer I'd show up on the premises, no big deal. While it may not be above board neither is sharing my Netflix account..
