Business wanting to move over to new email address

Hey guys,

I'm working with a client of mine that still exists from my freelancing days. They are a small company and despite me trying to convince them were happy to use a ntlworld.com email address.

They now need to move over to their own email due to expansion in accounts and other areas and so I have been called upon to help them do this. There main concern is all vans are currently wrapped with the existing email on so I need to set up a forwarder from that to the new address. Should I also make a note in their signature that they are moving to the new address and clients should add to their address book?

They currently have just the 1 email and so will want accounts to be contacted directly eventually so do they need to be making the people they work with aware of the changes in their emails?

To be clear what you actually want is to redirect email to the new address, rather than forward it.

There is an important technical difference between redirection and forwarding. Redirection will make the email arrive at the new address as though direct from the sender and thus you can reply to the sender by clicking 'Reply'. With a forwarded email you cannot, you will reply to whoever forwarded.

These are very muddy waters, as the terms are often interchanged. If talking to a service provider, 'fowarder' probably means redirection. If using an email client*, forwarding means forwarding.

Perhaps worth knowing should this not work as you expect.

* If you are using Thunderbird and you want to redirect email rather than forward it, the 'Mail Redirect' extension does the job.

You have two options from my understanding of your request:
- Configure at the mailbox level a forwarder on a catch all basis onto the new address. Instruct the staff so reply with the new address and tidy up the email (remove the FW: bits to ensure it looks professional.

- Configure a auto responder to say "Our email address has changed, please use new email to reach us".

The benefit with Option 2 is that the end user will update their address book (or at least the email clients predictive To: list.
