Accounts software

Can you guys recommend any software for me to use. I am looking to have accounts with a number of companies and would like to invoice everything that is owed on a weekly basis.

If I could click 1 button and it fires off hundreds of invoices that would be perfect but it needs to have some way of tracking the payments.

If I could get it to tie in with online website using some programming / api that would be even better!

Take a look at Xero. It's accounting software in the cloud and you can access it from any online device so no clunky installation on your computer. In my experience it's the best software for non accounts people (jargon free and simple to learn).

Invoicing is simple and repeat invoices can be created. You can also link a bank feed to match payments coming in with the click of a button.

I have no connection to them but having tried the rest both free and paid I use and really like Quickfile. You can also set up recurring invoices and automated payment chasing.

Having said that Xero, freeagent, kashflow and the others all have trail periods so try them out as well.

Accounts Portal automated billing works very well - I say that from personal experience. My firm bills clients monthly so we have a large number of monthly bills which are entirely automated, once set up, which takes a few minutes, monthly bills are sent automatically by email.

You'd need to buy a subscription for each company but it's still very competitively priced.

I do also have many clients using the package who get on really well with it.

Every monday morning invoices will go out form the previous 7 days (monday-sunday) and companies accounts should be placed on hold if payment is outstanding for more than 24 hours.

Needs to be automated as much as possible really...

Can I aslo suggest you look at Liquid Accounts (www.liquidaccounts.net), this also has some good add on functionality is totally cloud based and you can try on a trial 0 cost basis.

Would also back the Posters who have mentioned Kashflow another excellent product.

Finally Kashflow will also support "pay by link" whereby if you have a Merchant account you can put a pay link on your invoice automatically which then takes the customer to your payment portal.

Bank feeds let you automatically import bank statements into your Xero organisation from banks and other financial institutions (including Paypal). It's very simple to set up and then each day you match money received with customer invoices and money spent with bills or expenses.

Of course there are lots of different software options available and most have a free demo so I suggest creating some dummy data and then giving a few a try to see which you feel the most comfortable with.

But IMO cloud is the way to go!

Xero and Kashflow are probably the most user friendly if you have little accounting experience. You can grant your bookkeeper/accountant access and they can check/keep an eye on transactions for you. Both can use and access the data simultaneously enabling greater collaboration and the bookkeeper/accountant can offer enhanced reporting and advice.
