I'd suggest you move everything to Exchange online (part of Office 365). You'd then not have to rely on not having access to emails in the outlook software on your computer - you'll be able to access it via the web, along with all of those email contacts
There are a few important points i'd like to mention, first, putting files into Dropbox/onedrive/google drive etc is not a backup and backing up your data once a week is nowhere near the number of times you need to do it unless your files are static and don't get updated.

I’d agree with using the web versions but I wouldn’t agree with just jumping into it, I’ve found with our clients there needs to be a period of transition and user training from the locally installed to the web versions.
The office 365 license you go for would depend on how you are going to setup your email addresses etc. You’ll obviously need to setup your domain name in office 365 which involve some DNS changes so you’ll need access to your domain name hosting provider.

This one may be personal preference. How about trying capsulecrm, insightly, sugarcrm. You also want to know if it will integrate into any existing systems you've already got whether it be integrating into your email client, accounting software for example - if you want to have that of course.

I'd say start building your ideal client avatar - and any marketing should be based solely for the ideal client. MD's, business owners isn't enough - what are their pain points etc. I've done this exercise and it's helped me in creating a marketing message
