I need some advice/guidance

we have a huge data base in which we are now in the process of cleaning and segmenting. We are looking at ways in which we can send 20,000 emails to our customers/prospects.

We are aware that sending so many through our own email system can create a high spam score and this is something we are not willing to do because the emails we are sending are not spam.

Is anyone aware of any in-house option available to me, we don’t mind buying the software or does anyone recommend out sources to someone else. Our budget is limited so if you have experiences with sending mass emails I need your advice on the best options available to me for this direct email marketing campaign.

We have a email solution available which is competitive. All emails are sent out from white servers based in the UK unlike some of the other solutions out there and our email marketing solution also supports unlimited contact groups and subscribers.

There are some downsides to likes of MailChimp and ConstantContact, both of these have limitations on the amount of subscribers and they obviously relay out the US which is not that ideal.

true, e-mail marketing isn't the best way to promote yourself. perhaps for a little bit of brand awareness, but you'll hardly record any sales. i receive e-mails constantly from some of my favourite brands and still don't read them.
good luck anyway, but don't spend too much on it.

sending a lot of emails doesn't automatically make you spam.. it depends on a number of other things:

1. your email content, there are websites out there that can help you check the spam score of your email template

2. whether your outgoing mail client is configured properly to send email via SMTP and whether your reverse DNS resolves correctly

3. whether you have valid spf record set up on your domain

If you do the above properly, it will significantly reduce your spam score and improve your delivery rate. I was able to reduce my spam score from 60 to 0.2 - 2.0, which helps me get through most spam filters.

Another suggestion is to not send 20,000 at once, send 400 or so every hour and split your campaign over 48 hours if your requirement allows.

Regularly send emails through your own email client can help you build up the reputation for your IP, not to mention saving you money so it is worth considering.

I would not recommend sending from software in house. Your IP address is not likely to have the required level of configuration to avoid loads of spam problems.

If you are looking for a company that specialises in this, offering a very personalised service at competitive prices, give me a PM, our sister company does such a service.

If you are looking for a cheep as chip service, not to bothered how it looks (assuming your are not a HTML email expert) mail chimp is the way to go.

The biggest headache is mail reader compatibility!

If you have no experience in HTML email design, just keep it really simple! (please note HTML email design, is very different from normal HTML design these days).

Titan's comment reminded me that you also need to have the email compatible with both HTML and plain text clients.

If you are not technical, its probably best to use a service provider.

    How do people cope when they send out mass emails.

    I tried it once, just couldn't cope with the responce and ended up deleting thousands of replies without even opening them :(

    The only way I could see me being able to cope would be to set up a separate PC with just one email address on it and do nothing but respond to emails.

    Is the secret to get everthing set up first and try to automate as much as possible?
