Our outgoing emails.

Hi guys,

We have recently had customers and suppliers telling us that the emails we send are ending up in the spam/junk folder of their accounts.

We are using Windows live mail, the newest version with windows 7 as the opperating system.

Is there any way we can get the internet to trust our emails?

How do you send your outbound e-mails? I assume you collect inbound e-mail via a POP3 server? Do you use an SMTP relay server to send outbound e-mails. If so is it the same as the POP3 server or a different route? If you use a different route for outbound route you may need your ISP (or who ever handles your DNS records) to setup what's called an SPF record.

There are a number of things that could be the problem.

Looks like your domain is using 123-reg.co.uk mail servers. Are you sending via these servers?

You do not appear to have any SPF records set-up or Domain Keys. These can help avoid spam filters.

Are you including large images in your emails?
Using words which for your business are innocent but could be seen as suspect by a spam system?

That IP shows you are on the Three broadband network. The IP address is listed in an advisory blacklist - not your fault, it's just becasue it's an IP address used by an end user.

This in itself should not cause a problem unless you run your own mail server. Most likely you send emails via an ISP - probably your web host.

If you would like to send an email to [email protected] I can take a look at the headers and email for you FOC in the morning and see where the problem lies.

It would be best if the email contained the standard stuff you send out so the spam filters we have in place take a look at it.

Let me know when you have sent it so I can take a look for it.
