Adding New Customers to Kash Flow

Hi guyz,

I am new to this. After lots of suggestions in this forums I got a kashflow account. I need to start adding my sales.
I am a selling through an online shop and I probably have around 1000 different sales from a 1000 different customers every year. Do I really need to add a new customer for any new sale I make? If yes, what kind of detailes are nessesary for the customers? Or can I just type "Paypal" or "Google Checkout"?
Cause when I tried to export my sales data from google checkout (in csv format), there werent any names in there. Just dates and ammounts. So, it got me thinking that maybe I dont need to.
Also, do I need to print my online transactions with paypal and google checkout to have as evidene for Inland Revenue? Or is it enough that they exist in electronic form? If yes, Whats the best way to print? Export in an csv file and print through excel? Or print straight from the web page? The second would waste a lot of paper I think. But its more of a solid proof.

I've just finished integrating our online sales process with KashFlow. I figure that the work saving (not having to enter details/invoices etc in more than one place) will be worth in excess of £10 000 per year, so certainly for us this was worth doing.

With KashFlow you don't have to add a customer record with each transaction.

You can create a payment and no customer record.

Or, you can simply record aggregate sales - e.g. by week or by month.

It would be useful to know what shopping software you are using. Peter is right - integrating your website with your accounts will save you a great deal of time (and money) - and it also ensures accuracy.

If you are able to follow Peter's notes and do your own integration - great. If not, we are in the process of adding new cart integrations to KashFlow so may be able to assist.

We have trade accounts so we need access to thier full details (name, registered card address/delivery address, contact No, payment auth number etc) frequently, so we have entered them all in - there are around 900 so far that we hav got through! We also sell around 3000 different products and services around 12 -20,000 retail customers a year and we will enter each one as they arrive - it is seen as professional when someone calls and say ') bought from you in 2007 and you can enter their name and have all their details available - it impresses them that you are organised enough to be able to do it!

yes it takes time, but the ensuing database is work far more than 10k a year to us!
